Getting started

From your first sign-in
to your first report.

A practical guide to the Broker Ledger workflow.

Before you begin

Install the approved Windows release and sign in with the account supplied for your business. Your administrator should confirm staff access, data protection arrangements and the release channel before processing client information.

Keep your computer protected and maintain a backup process that meets your business’s requirements. The website preview is illustrative and cannot process files.

1. Create a client

Choose New client, add an appropriate name and reference, then open the case. Use the client card’s next action to continue an existing case. Keep separate applications distinct and check joint-applicant details.

2. Add statements

In Statements, add the relevant PDF, CSV or XLSX files. Check account coverage, the dates and any duplicate or overlapping files. Start reading the statements and wait for processing to finish.

If a file cannot be read, retain the original. Try an original download from the bank or contact support with a redacted example. Do not assume a missing line is a zero amount.

3. Check the evidence

In Check, work through grouped merchants and payments that need review. Inspect the underlying transaction lines before confirming a suggestion. Correct a category where necessary and check the scope of any bulk action.

  • Check income separately from spending.
  • Review transfers between included accounts so money moving between accounts is not mistaken for expenditure.
  • Consider refunds, duplicate imports and unusual payments against the source evidence.
  • Use flags as prompts for a conversation, not as a conclusion about the client.
  • Keep sensitive support notes out of routine lender-facing reports.

4. Review the report

Open Report and review the period, totals, exclusions and any remaining warnings. Confirm that the source evidence supports the report and that it meets the intended recipient’s requirements.

Export the appropriate report to your case file. A clear expenditure summary supports your work; it does not guarantee lender acceptance or replace the adviser’s assessment.

5. Work consistently with your team

Where company category sharing is enabled, save reusable merchant decisions to the business scope. Keep a decision local when it applies only to that client. Review conflicting category choices rather than assuming every existing rule fits every case.

The advertised subscription includes up to five admin staff within the licensed business. Ask us about additional access or network arrangements.

6. Updates, records and support

The application checks for updates after sign-in and during use. Finish active processing and follow the restart prompt at an appropriate time. Standard and tester releases can differ.

Manage local case retention, exported reports and backups under your business’s policy. Before seeking help, note the application version, the action you took and any error message.
