A clear explanation of how Broker Ledger handles local files, screened descriptions and the online services that support your business.

Last updated: 2 November 2026

Your files. A clear data flow.

Broker Ledger is a Windows desktop application. Its statement workflow reads source files and prepares reports on your computer. Some supporting functions use online services. Understanding that distinction helps your business make an informed decision about deployment.

The main processing activities
InformationWhat happens to it
Source statements and reportsThe desktop application reads statements and creates case reports locally. Your business controls the original files, working records, exports and backups.
Descriptions for categorisationThe privacy gateway screens descriptions before an external categorisation request. Names and account details are targeted for removal, and sensitive descriptions are withheld where detected.
Account and licence informationOnline services support access, licensing, service security and usage administration.
Shared merchant categoriesCompany sharing can synchronise reusable merchant-category decisions within the licensed business. It is separate from your local client statements and reports.
Support and website enquiriesWe receive the details you choose to send. Use redacted or fictional examples and leave out client financial information.

Screening reduces exposure; it is not anonymity

Transaction descriptions can contain unexpected personal information. No text filter can promise to recognise every identifier in every format. A screened description may still be personal data when combined with other information.

Your business should assess the external processing, establish a lawful basis and use the relevant contractual safeguards. Do not treat the privacy gateway as a replacement for your organisation’s data protection assessment.

People make the decisions

AI supports category suggestions. The software calculates recorded totals; the adviser checks the evidence, the classification and the report. A spending flag is a prompt to review the circumstances, not a finding about vulnerability, health or creditworthiness.

Broker Ledger does not make a lending decision, provide regulated financial advice or guarantee lender acceptance.

Your device and your business

  • Use supported Windows devices, access controls and appropriate disk encryption.
  • Give each authorised member of staff the access they need.
  • Keep backups, exported reports and retained statements under your business’s control.
  • Check the release channel and install updates through the approved process.
  • Apply a retention policy to local records, support copies and backups.

Supplier and contractual information

Our service-provider page distinguishes the product’s online services from website enquiries. Our data processing page explains controller and processor responsibilities and the contract needed for processing on your behalf.

We do not claim FCA approval of the software, ISO certification or SOC 2 certification for AI Broker Solutions Ltd. Supplier certifications, where held, belong to those suppliers.
